Overview

We are seeking a dynamic and motivated individual to join our team as a Trainee in Admin & Protocol Support at the Bucharest office of the German Marshall Fund (GMF). This is a unique opportunity to gain hands-on experience in a multicultural environment, supporting a range of activities from event coordination to office management.

Key Responsibilities:

  • Event Planning & Coordination: Assist in the organization and coordination of the Bucharest Forum (October 24-25) and other smaller gatherings.
  • Communications Support: Assist in drafting communications materials.
  • Research: Monitor regional news and provide regular updates.
  • Digital File Management: Organize and manage incoming digital files.
  • Reception & Visitor Management: Oversee reception duties and manage visitor interactions.
  • Inbox Management: Sort and organize email inboxes, flagging important messages for follow-up.
  • Operational Support: Provide general operational assistance for the GMF Bucharest office.
  • Office Task Coordination: Support the daily organization and coordination of office tasks.
  • Logistical Support: Carry out various administrative and logistical duties as assigned.
  • Supply Management: Monitor and order office supplies as needed.

Qualifications and Requirements:

  • Educational Background: Enrolled in a Bachelor’s degree program or have completed a higher education degree.
  • Familiarity with International Organizations: Prior exposure to or knowledge of international organizations is preferred.
  • Language Skills: Fluency in English is mandatory, with excellent written and oral communication skills.
  • Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook) is required.
  • Attention to Detail: Ability to multi-task, perform under tight deadlines, and work independently with an eye for detail.
  • Interpersonal Skills: Strong interpersonal skills and the ability to work effectively in a multicultural environment.

Traineeship Details:

  • Duration: This is a part-time, paid traineeship lasting 6 months.
  • Hours: The traineeship hours are 9:00 AM to 1:00 PM, with some flexibility.
  • Start Date: Preferred start date is September 16th.
  • Location: This role is based on-site at our Bucharest office.
  • Mentorship: A dedicated mentor will be assigned to guide you through your traineeship, provide explanations, and answer any questions.
